Standards of Behaviour and Etiquette Policy
1. Introduction

The Malaysia British Society (MBS) is committed to fostering an inclusive, respectful, and safe environment for all members, guests, and participants in our events and activities. This policy outlines the standards of behaviour and etiquette expected from all members, both during MBS events and when representing MBS in any capacity. It aligns with the objectives stated in Rule 3 of the MBS Constitution​, which focuses on fostering harmonious relations between Malaysia and Great Britain.

2. Scope
​
This policy applies to all members of the Malaysia British Society, including guests, speakers, and anyone participating in MBS events or representing the Society. The standards outlined herein are applicable during all MBS-related activities, whether in-person or online.

3. Expected Behaviour
​
All members are expected to:

Respect Others: Treat everyone with respect, courtesy, and consideration. Recognize and appreciate the diversity of MBS members and their perspectives.

Promote Inclusion: Contribute to a welcoming and inclusive environment free from discrimination, harassment, or exclusion based on race, ethnicity, nationality, gender, sexual orientation, religion, age, disability, or any other characteristic.

Exhibit Professionalism: Display professionalism in all interactions, upholding the values of MBS as specified in the Constitution's objectives​.

Maintain Confidentiality: Respect the privacy and confidentiality of fellow members, particularly concerning personal or sensitive information shared during MBS activities.

Adhere to Event Protocols: Follow specific guidelines or protocols set for MBS events, including health and safety measures, and cooperate with event organizers and staff.

4. Prohibited Behaviour

The following behaviours are strictly prohibited:

Harassment: Any form of harassment, including verbal, physical, or online harassment, unwanted attention, or inappropriate comments.

Discrimination: Discriminatory behaviour or language based on race, ethnicity, nationality, gender, sexual orientation, religion, age, disability, or any other characteristic.

Inappropriate Behaviour: Offensive, intimidating, or otherwise inappropriate actions, including drunk and disorderly behaviour, unwelcome physical contact, or disruptive conduct.

Violations of Law: Engaging in illegal activities, such as drug use, violence, or theft.

5. Reporting and Addressing Violations
​
Members who witness or experience violations of these standards are encouraged to report incidents to the MBS Ethics Sub-Committee via any designated MBS Committee Member. The process for handling violations aligns with the Constitution's clauses on the expulsion or suspension of members (Rule 5)​.

Investigative Process:

Initial Assessment: Upon receiving a report, the Ethics Sub-Committee will conduct an initial assessment to determine the validity of the complaint.

Investigation: A thorough investigation will be conducted, including interviews with involved parties and witnesses. This process should take no more than 30 days from the report’s filing.

Resolution: Based on the findings, appropriate actions will be taken, including a warning, suspension, or expulsion from the Society (as specified under Rule 5 of the Constitution).

Appeals: Members subject to disciplinary actions can appeal the decision to the MBS Committee as outlined under the Constitution's provisions for appeals​.

6. Handling Members Involved in Unethical or Criminal Activities or Activities that May Bring Disrepute to MBS

MBS is committed to maintaining a high standard of integrity, professionalism, and mutual respect among its members. As such, the Society reserves the right to address situations where a member's involvement in unethical, fraudulent, or illegal activities may bring disrepute to the Society, even if these actions occurred prior to their membership or have only a minor connection to the MBS.
For instance, if it is discovered that a member has engaged in past misconduct, such as fraudulent behaviour or unethical practices, and it is believed that this may negatively impact the reputation or wellbeing of the Society or its members, MBS will take the necessary steps to assess and address the matter.

Process:

Suspension of Membership: If a member is suspected of engaging in such activities, their membership may be suspended by the Committee, pending investigation.

Investigation: The Ethics Sub- Committee will conduct a thorough investigation within 60 days, reviewing all relevant background information, records, and other pertinent factors.

Decision: Following the investigation, the Committee may decide on appropriate actions, including expulsion of the member, in accordance with the procedures outlined in Rule 5(ii) of the MBS Constitution. This is to safeguard the Society’s integrity and uphold its values​.

Appeals: Should the member wish to contest the decision, they have the right to appeal to the committee within 14 days of the decision. The Board will conduct a final review of the case and issue a binding ruling.

Non-Refundable Fees:
In cases where a member is expelled from the Society due to misconduct, as determined through the proper procedures, any membership fees paid, including life-time membership fees, will not be refunded. This is to ensure the fairness of MBS's commitment to upholding its values and maintaining the trust of its membership.

7. Consequences of Violations

Verbal or Written Warning: For minor infractions or first-time offenses.

Suspension: Temporary suspension from MBS events and activities, as per the Constitution’s provisions​.

Expulsion: Permanent removal from the Malaysia British Society, with forfeiture of membership rights and privileges, following the procedures outlined in Rule 5(ii)​.

Legal Action: In cases of illegal behaviour, MBS may involve law enforcement authorities.

8. Review and Amendment
​
This policy will be reviewed regularly by the MBS Committee and the Ethics Sub-Committee to ensure it remains relevant and effective. Any amendments will be communicated to all members in line with Rule 13 of the Constitution, which governs amendments to the rules​.
